Administrative Assistant

SLAM is seeking an Administrative Assistant to support our Los Angeles, CA office. The ideal candidate is someone who has graphic abilities, thrives in a multi-tasking environment, who values productivity and efficiency balanced with utmost quality, and who takes pride in flawlessly executing multiple tasks simultaneously.

Preferred Skills and Attributes:

  • Administrative support experience, preferably in the architectural, construction or other related industry         
  • Proficiency in PowerPoint, InDesign, and other photo editing software
  • High Proficiency in Excel and Word; experience with AIA and Deltek a plus
  • Ability to multi-task and stay ahead of deadlines
  • Ability to work effectively alone and as part of a team
  • Good written and verbal communication skills (this position requires writing and frequent communication via phone, email, and in-person)
  • Friendly, organized, and detail-oriented creative thinker
  • Basic graphic design skills in digital media
  • Understanding of industry terminology preferred, but not required

Responsibilities include, but are not limited to:

  • Answering phones, ordering office supplies/maintaining office equipment, filing, coordinating lunches and meetings, managing incoming and outgoing mail and packages, and keeping the office tidy
  • Assist staff with miscellaneous tasks, i.e. drafting letters or meeting notes, scanning and printing drawings, filing paperwork and drawings, etc.
  • Assist in graphic layouts and preparing proposals utilizing InDesign
  • Reconciling monthly accounts (i.e.: petty cash and credit card statements);
  • Place maintenance and service calls for office equipment
  • Maintaining archived documents, which includes transferring files to storage
  • Assist with the scheduling of travel arrangements
